Easy Member Onboarding

After we import the members of your Swim and Tennis Club or residents of your HOA, they should be sent an email from the Communications module with a button to automatically login. Under the Starting Segments section, choose “Haven’t Signed In Yet” as the group to email. Each time you do this, you will see how many people have not signed in yet as the email only targets this group.

Once they click the button in this email they will automatically be signed in on the device they are using. Most members will never need to sign in again as we will remember them through an authentication token (which also checks if their membership is valid each time they visit the site). So if they stay an active member and visit the site once a year they should stay logged in.

During this initial sign in, the member can change their email, phone number, set their Front Desk PIN (more on that below), and view / edit their Initial Setup Code

This Initial Setup Code can be used to authorize more devices, for example, to sign into a browser on their mobile device as well as desktop (or vice versa) or to authorize using our iOS App for Member Reservations. If the member is done using this code, they can disable it or leave it functional for now. It will be automatically randomized at times, for example, if the member were to attempt to login and forgets it. If disabled, future sign-in attempts will automatically trigger an email to login in.

We know our clients are never looking forward to moving hundreds of members to a new system, but we make transitioning very smooth. We understand most of you reading this are volunteers and have better things to do then try to recover a password for your least tech-savvy members.


The Front Desk PIN

The Front Desk PIN will be randomly set to a 4 digit number. The member or resident can then change their PIN to something more memorable. The Front Desk PIN is only used with our iPad App on location at the club so members could be encouraged to use something obvious like their street address as the PIN. The PIN can be used to self-check in (if the iPad is in kiosk mode) or verify a concession stand order. Photos are primarily used to verify a member’s identity, so this PIN is considered an optional secondary layer of verification.

The PIN could be used on the kiosk to validate checking in. So again, a PIN the whole family can remember is a great idea.
